Job Description

Communications Team Overview: 

Communications Team is responsible to ensure that chapter communications are established and executed as defined in the PMI Phoenix Chapter Communications Strategy and as directed by consensus of the board of directors. The Communications Team facilitates the respective types of communications initiated by the PMI Phoenix Chapter to targeted audiences using the appropriate communication channels as required and/or assigned in accordance with the purposes of the bylaws, policies, and strategic plans.
The Communications Team is responsible for managing both the chapter MarCom strategy and Technology strategy - tool portfolio for successful chapter communications to both external and internal members, volunteers, and other stakeholders to help the chapter achieve its annual and long-term goals. Their core responsibility is management and support of the chapter website, calendar, chapter volunteer work collaboration tools, monthly newsletter, weekly bulletin, social media, photography, email aliases/distribution lists, chapter branding, all email blasts, and Volunteer Roster.

Technology Team Overview:
Website: Coordinate and manage distribution of all chapter communications via the chapter website. Responsible for providing direction to the website and core-infrastructure team for any website training, updates or fixes needed; Responsible for all chapter website communications.
SharePoint: Responsible for providing direction to the security team for any website training, updates or fixes, and needed authorizations for volunteers.
Technology Selection Licensing: Responsible for management of chapter technology portfolio including selection recommendation and licensing.

The AVP (Associate Vice President) of Technology reports to the VP of Communications.


Roles and Responsibilities: 

The AVP of Technology will be responsible for managing the following sub-teams: Webmasters, SharePoint/Security, Core-Infrastructure, and A/V Management.

This includes but is not limited to the following:

  • Review and route appropriate requests/escalations to Webmasters.
  • Review and route appropriate requests/escalations to SharePoint team.
  • Review and route appropriate request/escalations relating to Security for Website and SharePoint.
  • Review and route appropriate request/escalations relating to Core-Infrastructure.
  • Review and route appropriate request/escalations relating to A/V Management team.
  • Supports VP of Communications as point of contact for escalations needing attention from infrastructure hosting vendors (SharePoint 360 Hosting, Proteon etc.).
  • Continually attends/completes training offered through website vendor (e.g. SharePoint 360 Hosting) in an effort to maintain the most up to date knowledge of SharePoint site and administrative tools.
  • Continually attends/completes training offered through website vendor (e.g. Proteon) in an effort to maintain the most up to date knowledge of the Chapter website and administrative tools.
  • Trains internal new team volunteers on process and guidelines associated with the chapter Website, SharePoint site, and security
  • Provides monthly status report on Website, SharePoint, and Security on the 1st Week of each month in SharePoint.
  • Recruits, interviews, and on-boards new members to fill vacant team volunteer positions.
  • De-boards volunteers from team when necessary.
  • Provdes feedback as necessary to team and holds at least 1 monthly meeting (e.g. as a group or individually) with Technology team leaders.
  • Acts as delegate for VP of Communication as assigned.
  • Other duties as assigned.

Requirements:

  • Technical competency in administration of web-based technology
  • Preferred prior experience with productivity tools (SharePoint, Joomla, WordPress, Microsoft Office, etc.) and web technologies (mainly HTML, and PHP)
  • PMI Phoenix Chapter membership in "good standing" through nominations to fulfillment of term
  • Ability to analyze business processes and recommend improvements
  • Experience of driving assigned projects/tasks to successful completion
  • Strong leadership experience
  • Strong team-building and motivation experience
  • Preferred experience with building successful technology teams
  • Strong analytical and troubleshooting skills
  • Strong organizational skills
  • Ability to prioritize, communicate and set expectations for stakeholders
  • Enthusiasm for the mission of PMI, and PMI Phoenix Chapter
  • Please Note: All Volunteers must be current chapter members in “good standing” as defined by chapter by-laws.
